Administrative Assistant – Community Outreach/Program Support

 

Position Summary:

This position is for a highly organized Administrative Assistant with strong community outreach experience to support disability and non-disability service programs funded through public partnerships and grants. This role combines administrative coordination with outreach support to ensure accessible services, strong community relationships, and accurate program compliance.  The candidate in this position must be organized, culturally responsive, and committed to advancing the Butterfli service model.  Responsible for daily office operations, including excellent computer skills, knowledge of multiple software proficiencies, social media platforms, portal updates for consumer activities, and Zoho updates.  In addition, work with the Outreach Team to help build and maintain relationships with community partners, subcontractors, vendors, and internal Butterfli staff.

Key Responsibilities:

Administrative Support for Community Outreach & Engagement/Program Support

  • Provide general administrative support, including managing calendars, meetings, and event logistics.

  • Assist in planning and coordinating outreach events, including but not limited to community meetings, listening sessions, etc.

  • Prepare reports, presentations, and outreach materials.

  • Responsible for ensuring that program materials are updated and printed, as well as ordering and maintaining an adequate supply of program “giveaways.”

  • Maintain outreach database and referral networks.

  • Help distribute program information in accessible formats

  • Grant-funded programs monitor deadlines related to reporting and documentation.

  • Assist with the preparation of grant reports and performance tracking.

Qualifications:

  • 3+ years of administrative experience, preferably in social services/nonprofit settings.

  • Experience working with individuals with disabilities or vulnerable populations.

  • Knowledge of community outreach practices.

  • Strong organizational and multitasking skills.

  • Proficiency in database systems and software.

  • Ability to handle confidential information responsibly.

  • Professional, patient, and culturally responsive demeanor, and experience working with diverse both disability and non-disability communities.

  • Event coordination support experience.

  • Bilingual abilities are preferred.

Work Environment:

  • Office-based at the designated Butterfli office location

  • Evening or weekend events, and the ability to assist with events.

Salary Range:

  • $25.00 - $28.00 per hour (depending on experience and qualifications)
